The four crucial steps

 The User Adoption Plan comprises four steps that already start before the actual implementation of the new software. 

Before the implementation 

 User Adoption Step 1 

Let your employees know that there is new software coming well in advance. This will make them feel more involved.
Unambiguous communication is one of the more critical success factors for a project. You create awareness with a good communication plan.
Use an e-teaser. 

 During the implementation

  

 User Adoption Step 2 

At this point your employees will need to obtain the necessary knowledge in order to be able to continue their daily activities without interruption, as soon as they start using the new software.
What you need to do during this phase is organise the transfer of knowledge by using a mix of learning methods:
• classroom sessions
• e-learning
• teasers
• road shows
• support material such as quick reference cards …) 

 After the implementation 

  
 User Adoption Step 3 

Once the new software has been implemented, the questions will start coming. You can best use this first critical period to emphasise the advantages of the new way of working. This is also the best moment to improve the skills and knowledge your employees already have.
• Provide extra training
• Appoint coaches
• Publish and make available ‘FAQ’ or ‘Tips & Tricks’ on the intranet for example… 

  User Adoption Step 4 

This last step gives your employees the opportunity to voluntarily share their knowledge and enthusiasm about the new application. 
• Give them the chance to blog
• Set up a Wiki
• Appoint an ‘ambassador’ for each department who can assist other employees with their questions and problems.
