Work from home with Zoom or Microsoft Teams

During our Zoom and Microsoft Teams webinar on Friday, March 13, many of you learned all about the virtual collaboration options in Xylos’ offer. Still, we’ve noticed that some people have a hard time choosing the right solution from the available options. We can’t count the amount of times we’ve been asked, “So which one of these tools do we need to use? Zoom or Microsoft Teams?” Here’s a brief explanation.

Choice overload: which tool suits your needs?

The table below shows you which software we recommend for different situations:

Let’s have a closer look at these scenarios:

Zoom Unified Communications as-a-Service

For customers who need a pure Unified Communications solution, Zoom offers a simple user application for PC, Mac, web browser, smartphone, etc. The app features all UC functionalities, such as presence, federation with internal and external contacts, chat (private/group), audio and video calling via the Internet, online meetings (audio/video/content sharing, including videos with audio), whiteboarding and even telephony.

Zoom is a ‘cloud-born’ tool that focuses purely on delivering a Unified Video First PBX solution. In other words: it’s a modern communication system that fits the needs of businesses in 2020. When it comes to cloud solutions and innovation, Zoom is ahead of its competitors because other parties often have an additional focus (e.g. collaboration in MS Teams, or ‘retuning’ older platforms with traditional UC players such as Cisco or Mitel).

Thanks to this strong vision and worldwide ability to execute, Zoom has risen to the top three in the Gartner Quadrant for Meetings, alongside Microsoft and Cisco.

The following overview presents the solutions that are part of the Zoom UCaaS platform:

Here are some key innovations that set Zoom apart from other solutions:

  • HD Video Conferencing with up to 1,000 video participants in a meeting and up to 10,000 viewers in a webinar
  • Displaying of 49 video participants on screen, and up to 100 video participants over 3 screens
  • Virtual Backgrounds (image and video), to create a professional or fun backdrop on mobile, desktop or your Zoom Room without a green screen
  • Video Breakout Rooms can be created during a meeting and be assigned to participants within the meeting, which is perfect for training and education
  • Digital Signage solution embedded in the platform
  • Room Scheduling solution embedded in the platform
  • Zoom Marketplace for Apps that can integrate with the Zoom Platform
  • Content security via watermark screenshots
  • International Performance, perfect for globally dispersed teams
  • Proprietary compression technology operates with up to 45% packet loss
  • Meeting services availability of 99.99% uptime
  • Active/Active architecture for the meeting service with full redundancy - virtually no risk of interrupted service

MS Teams WorkStream Collaboration as-a-Service

If you’re using Microsoft Office 365, you already have access to Microsoft Teams and you can start using it immediately for collaboration (in teams/channels), document management, document co-authoring, apps and workflows.

When you start to use Microsoft Teams for collaboration, we can add UC functionalities to it, such as presence, federation with internal and external contacts, chat (private/group), audio and video calling via the Internet, online meetings (audio/video/content sharing, whiteboarding), and even telephony.

Microsoft Teams then delivers a ‘single-user application’ for all end users’ collaboration and communication needs.

  • Because of the functionalities Teams offers, it’s best to plan and develop some things beforehand. This may mean it’ll take a little longer to set up your complete Microsoft Teams project.
  • We’ll give you an overview of some important steps that we’ll need to discuss with you beforehand:
  • Start with the technical foundations that are required for a fluent user experience, optimised data security and access management.
  • Introduce ‘self-service’ collaboration spaces to give your employees access to state-of-the-art collaboration tools internally as well as externally and set up a Microsoft Teams Governance Plan.
  • Facilitate online meetings with audio, video and content collaboration to let your end users and their external partners collaborate from any device and any location.
  • Enable Microsoft Teams’ telephony functionalities. This will ensure a consistent experience with all your communication tools (chat, voice, video, telephony) through a single user interface on your preferred device.
  • Map out a ‘Change & Adoption Journey’ for each of the abovementioned steps to deploy Microsoft Teams professionally.

Shortly put, Microsoft Teams is an elaborate workstream collaboration tool with various features for collaboration and communication. A solid approach is crucial to implement and use it efficiently.
