“When you drive a Mazda, you never drive alone”. When car manufacturer Mazda started their migration to Windows 10 and Office 365, they certainly lived up to this motto. After all, changes on this scale can only succeed if everyone puts their shoulders to the wheel. “To simplify the migration to this new, digital work environment for our employees, we asked Xylos’ experts for help. They developed a change project and an accompanying communication plan for us”, says Johan Van Parys, IT Manager at Mazda Motor Logistics Europe.
Because Windows 7 support ends in January 2020, car manufacturer Mazda decided to migrate to Windows 10. But migrating is one thing; making sure every employee embraces the changes and uses them in their daily work routine is something entirely different. “We had to create awareness about the new workplace and decided to call on Xylos’ experts for professional help”, Johan explains.
“With Office 365’s OneDrive, our company switched from local files to a cloud environment where information can be shared effortlessly. But that’s just the beginning. First of all, our employees needed to be made aware of the possibility of collaborating remotely. To do this, Xylos’ e-learning brand NEO Learning created a teaser video, which we published on our Intranet and played on a big screen in our cafetaria. The mood was set immediately”, Johan continues.
After teasing the employees, Mazda needed to properly inform and support them. As a starter, Xylos organised an onboarding session in which the trainer answered questions such as: “What advantages do Windows 10 and Office 365 offer?”, “What's new?”, and “How will we support all of our colleagues?”. “After the workshop, we organised several demo sessions during which Xylos’ coaches gave an in-depth explanation of the functionalities of Windows 10 and Office 365”, Johan says. To organise these training sessions properly, Mazda needed a detailed communication plan. They called on Xylos for this as well. “The change consultants gave us many tips and tricks about the content, timing and frequency of communication. Thanks to their e-mail templates, we spent less time copywriting and we knew perfectly which message we had to send out at what moment.”
A few weeks after the migration, Mazda sent out a survey to ask their employees how they had experienced the change project. Was all information communicated clearly? Did they get the message? How did the migration go? Were there enough hands-on workshops to update their knowledge and solve their questions? No less than 80% of all co-workers answered “yes” to these questions. “The project went flawlessly thanks to our smooth collaboration - they were a pleasure to work with. We always received an immediate response to our questions. That really makes a difference”, Johan concludes.
